Office Manager / Billing Specialist
Please note that this position is not fully remote and does require time on site.
The Office Manager at Head & Heart Therapy ensures the smooth running of the office, oversees and is responsible for billing, and helps to improve the practice procedures. In addition, the Office Manager is responsible for creating a welcoming and safe environment for clients and staff. This multi-dimensional role involves supporting company operations by maintaining office systems, while also demonstrating a professional demeanor with particular strengths in confidentiality and ethical response in all interactions. The position requires a balance between clerical/administrative excellence and the ability to act with diplomacy, tact, and ethics in a unique multi-disciplinary environment. Additionally, the Office Manager is expected to be professional and friendly while interacting with clients and staff face to face, electronically, and telephonically.

Typical Duties

Maintains office by organizing office operations and procedures:
- managing correspondence
- designing and maintaining HIPAA compliant filing systems
- reviewing and approving supply requisitions
- Preparing and submitting payroll

Oversees billing:
- Verifies prospective and current client’s health insurance
- Submits insurance claims daily
- Contacts insurance regarding denied claims

Assists in developing and implementing orientation/training for new employees

Assist providers with faxing, prior authorizations, credentialing, etc.

Assists with clinical development policies and procedures

Manage referrals internally and externally

Maintains clinic files
-
Oversees contracts, ensuring contract compliance
Knowledge, Skills, and Abilities
-
Capacity to manage projects in an organized and efficient manner
-
Strong communication and organizational skills
-
Knowledge and understanding of HIPAA
-
Ability to work collaboratively with a multidisciplinary staff
-
Knowledge and understanding of scheduling and intakes
Minimum Qualifications
-
At least five years experience at a medical office, healthcare clinic, or similar setting
-
Previous experience and knowledge with HR and HIPAA policies and procedures
-
At least two years of experience with mental health billing
-
Ability to pass a background check per state requirements
-
Proof of vaccination or documentation of a medical condition per state requirements

Schedule
Monday through Friday 8:30am to 5:00pm
